Terms of use

The conditions of using the club intranet. You agree to these when you create an account. Last reviewed 4 September 2026.

1Who this is for

This system is for people the club has approved: coaches, team managers, committee members and volunteers. An account only works once a club admin has approved it, and the club can decline or withdraw access at any time.

It is a club tool, not a public website. Do not use it for anything unrelated to running Canvey Island Youth FC.

2Your account is yours alone

Keep your password to yourself. Do not share a login, and do not let someone else use your account, even another coach. Everything done through your account is recorded as done by you.

If you think someone else has your password, or you lose the phone you stay signed in on, tell a club admin straight away so the account can be closed off.

3Children's information

This is the clause that matters most.

You can see the players in your own team, including their dates of birth and a parent or guardian’s contact details. That access is given to you for running your team and nothing else.

  • Do not share a player’s details with anyone outside the club, including other clubs, leagues or parents of other children.
  • Do not copy team lists into group chats, spreadsheets, personal notes apps or anywhere else. Keep them here.
  • Do not use a guardian’s phone number or email for anything other than club matters.
  • If you leave your role, your access ends. Do not keep a copy of anything.

Deliberately looking at information you do not need for your own role is a breach of these terms, and the club can see who looked at what.

4Pitch bookings

Request only slots your team genuinely needs, and cancel as soon as you know you do not need one. A pitch held and unused is a pitch another team could have had.

A request is not a booking until it is approved. Approved bookings can still be moved or cancelled if a pitch is unplayable or the club needs it, and you will be emailed if that happens.

5Reporting incidents

Report injuries, safeguarding concerns and facility problems promptly and honestly. Reports go to club admins.

This system is not an emergency service. If someone is in immediate danger, deal with that first and report it here afterwards.

Treat what is in a report as confidential. If you file one, do not discuss it around the club.

6What you must not do

  • Try to reach information the system has not given you, including another team’s players.
  • Upload anything you do not have the right to share.
  • Post anything abusive, discriminatory or untrue.
  • Automate, scrape or bulk-download anything.
  • Interfere with how the system works, or test its security.

7What the club can do

The club can suspend or close an account, remove content, and look at the record of who did what, where there is a good reason. Where a suspension is not urgent the club will tell you why.

Serious misuse of children’s information will be dealt with under the club’s safeguarding policy and may be reported further.

8Your information

How the club uses your own information is set out in the privacy notice. Accepting these terms is recorded against your account, with the date and the version you agreed to.

9Availability

This is a volunteer club’s system, run at low cost. It is looked after properly but not guaranteed to be available at any given moment, and the club is not liable for a booking missed because the site was down. If it matters and the site is not working, pick up the phone.

The printed weekend sheet exists for exactly this reason. Put it up in the clubhouse.

10Changes, and who to ask

The club can change these terms. If a change is significant you will be asked to accept the new version next time you sign in.

Questions about these terms, your account or your information go to the club secretary or the club welfare officer. These terms are governed by the law of England and Wales.
